Choosing an event venue - no matter what kind of event you are planning - is usually the first step in getting the process rolling. True, you will need to establish a budget first based on the number of attendees that will be at the event, but you’ll also need to know what any venue can do for you to help you stay on budget and still put together a successful affair.






  • Accommodation & Facilities:

So, what do you need to look for when “shopping” for the perfect venue? First and foremost is if a venue can accommodate all of your needs. For example, if you’re planning a wedding with a reception immediately following, you may want a venue that can provide an outdoor area with a scenic backdrop for the ceremony in addition to an adjacent indoor reception hall that attendees can walk to after the ceremony.


Will both areas be able to seat all of your guests comfortably? This not only includes tables and chairs but also dining services if you are planning a buffet, perhaps a bar area or two, a place for a band or DJ if music will be involved, along with a dance floor. Or, if you are planning a smaller, more intimate event, can they provide an area that will fulfill all your needs without feeling overwhelmed by too much space?

  • Food and Beverage:

Which brings us to the next point: food and beverage service. Will the venue work with you to create a sit-down menu or buffet or will you also need to contact a catering service? Does the venue have a full staff of people who can set up and break down the seating, provide you with food and beverage services that includes servers and bartenders, and assist you throughout the planning process so everything runs smoothly on the day of the event?


  • Location of Venue:

Another consideration is where the venue is located. You’ll want to pick a spot that is easily accessible to all of your event attendees. If people will be flying in from out of town, you’ll want a place that is within a comfortable distance from a full-service airport. Will you have a need for overnight accommodations? Look for a location that offers both a nearby hotel as well as conference center services, and that is willing to help you book both. One thing that is often overlooked about a venue is if there will be enough parking for all your guests on the day of the event so your guests won’t need to walk long distances (especially if in formal attire) and you won’t need to hire a shuttle service? Do they offer accessibility to all areas if you will have guests with disabilities attending?


The bottom line is to look for a venue that can help you with the planning and execution of your event so you won’t have to worry about any details on the day/evening of the occasion. After all of the work you put into planning your event, you’ll want to be comfortable and confident in knowing that everything will go to plan so you can enjoy yourself and have a chance to mingle with your guests while the event is going on.
